<p>The Finance Assistant reports to the Finance Manager and will perform administrative tasks and services to support effective and efficient operations of Equality Charter School's Finance Department.</p> <p>Purchasing/Accounts payables/Receivables/Logistics/Payroll Processing:</p> <ul> <li>Receives requisitions, verifies the correct budget code and description, creates purchase orders tying items to the appropriate account. </li><li>Manages all logistics related to returning supplies, materials and assets purchased in error or damaged in transit. </li><li>Follows up on pending orders and "partial" orders to ensure timely delivery and order completion. </li><li>Attends weekly meetings with Finance Manager and CFO to go over open PO's, bills to be paid and partial orders. </li><li>Negotiates pricing for fiscally responsible purchasing. </li><li>Process invoices and reimbursements. </li><li>Matches purchase requisition with invoice before submittal. Files copy of checks in Cash Disbursement binder. </li><li>Handles shipping responsibilities including UPS, FedEx, and postage meter. </li><li>Tracks fixed assets, including technology, as they arrive to school in database. Maintains fixed asset binder. Labels all fixed assets according to school coding system. </li><li>Assists with annual fiscal audit schedule preparation, including prepaid expense schedules, accrued salary schedules, and other reports as needed. </li><li>Logs all approved reimbursement requests as PO's in Quickbooks, in conformity with EFT and other cash disbursements. </li><li>Ensures all EFT's are entered and paid into Procurify and Quickbooks. </li><li>Generates BTRR monthly reports in Quickbooks. </li><li>Dispute any discrepancies in relations to invoices, Completes payments and controls expenses by receiving, processing, verifying, and reconciling invoices. </li><li>Reconciles processed work by verifying entries and comparing system reports to balances. </li><li>Protects organization's value by keeping information confidential. </li></ul> <p>Standard 2: Supports Instructional Program</p> <ul> <li>Supports the implementation of Positive Behavior Interventions and Supports (PBIS) and serves as a check in, check out person for our secondary PBIS intervention </li><li>Participates in weekly finance team meetings. </li><li>Attends weekly Professional Development meetings as needed. </li><li>Supports with the supervision of students during student lunches </li><li>Supports the Executive Director, Principals, Chief Financial Officer, and Finance Manager with all other duties as assigned </li></ul> <p>REQUIRED QUALIFICATIONS</p> <p>Education:</p> <ul> <li>Associate's degree in Human Resources, Business Administration or a related field, or significant work experience in lieu thereof. </li></ul> <p>Experience:</p> <ul> <li>One (1) to two (2) years of HR experience in an office setting required. </li></ul> <p>PREFERRED QUALIFICATIONS</p> <ul> <li>At least two years of experience in Finance in a charter school setting is a huge plus </li><li>Working knowledge of Finance systems, (ie. Quickbooks, etc) </li><li>Working knowledge of ADP. </li></ul> <p>REQUIRED SKILLS</p> <ul> <li>Must have an intermediate skill level in Microsoft Excel, and experience with developing reports. </li><li>Requires a high level of service responsiveness to internal customers and effective partnership with finance colleagues. </li><li>Ability to work independently or in a team environment, and maintain collaborative relationships with all members of the finance team. </li><li>Ability to use sound judgment and discretion in handling sensitive issues with confidentiality and discretion. </li><li>Excellent written, verbal communication and presentation skills required. Must have demonstrated ability in organizational, time management, problem-solving and interpersonal skills. </li><li>Must be adaptable, dependable, with the ability to handle multiple priorities simultaneously. </li><li>Must have a proven, consistent track record showing the ability to work with all levels within an organization. </li><li>Display a high level of energy and self-motivation. </li><li>Strong administrative experience with exceptional organizational skills, including the ability to organize the work of others. </li><li>Demonstrated capability in both oral and written communications. </li><li>Ability to take copious notes and transcribe / prepare documents on the fly. </li><li>Strong computer experience required which must include abilities to work effectively with MS Office suite products i.e. Word, Excel, PowerPoint. </li></ul> <p>WORKING CONDITIONS</p> <ul> <li>Regular work requires use of a computer and the ability to travel between all three Equality Charter School schools located in the Bronx with ability to work remotely as needed/scheduled </li></ul> <p>SALARY</p> <ul> <li>$55,000 </li></ul>
