<p>The Office & Administrative Assistant plays a key role in ensuring the smooth day-to-day operations of our office while providing high-level administrative support to senior leadership. This role encompasses a wide range of responsibilities, from providing administrative support to maintaining and ensuring the office remains an organized, welcoming, and productive environment for all.</p> <p>Key Responsibilities:</p> <ul> <li>Act as the first point of contact for visitors, offering a warm welcome and professional assistance. </li><li>Handle incoming calls, manage voicemails, directing them to appropriate team members or taking messages as needed. </li><li>Maintain cleanliness and organization of the kitchen, common areas, and conference rooms. Ensure these areas are stocked with necessary supplies and ready for use. </li><li>Follow up with housekeeping and maintenance concerning facilities and building matters. </li><li>Efficiently manage the distribution and dispatching of mail and packages. </li><li>Assist in the organization and execution of internal events. </li><li>Enroll guests, create security badges, and work with team members on coordinating visits. </li><li>Provide administrative support including calendar management, travel coordination, and expense reporting as needed. </li><li>Perform additional tasks and responsibilities as required by business needs or as directed. </li></ul> <p>Competencies for Success:</p> <ul> <li>Excellent communication and interpersonal skills </li><li>Strong organizational abilities with attention to detail </li><li>Proactive and resourceful with a solution-oriented mindset </li><li>Experience with administrative and or coordinator responsibilities </li><li>Proficiency in Microsoft Office Suite (Word, Excel, Outlook). </li><li>Minimum of one (1) year prior related experience in a customer service or hospitality environment preferred. </li></ul>
