The breadth of our innovative programs provides the widest range of choices for every member of our team.</p> <p>Job Summary:</p> <p>DOHMH has an opening for an Equity and Operations Coordinator. Through an equity lens, the coordinator will be instrumental in developing and executing strategies that address the unique experiences and challenges of our staff who serve the general public, hospitals, funeral directors, and other key parties involved in the reporting, analysis, and issuance of birth and death certificates. Under the supervision of the Executive Director of Vital Records Operations, and in close coordination with other leaders and our Administration team, they will lead ensure the smooth operational functions of the Bureau of Vital Statistics and also develop and propose actionable upstream solutions to resolve recurrent pain points. They will lead implementation and tracking of operational improvements, strategic goal setting and monitoring, and supporting the administrative needs of the bureau. This individual will support current and enhanced operational processes and procedures through demonstrated expertise of bureau operations, communication of operational processes, careful understanding and communication of program-specific reports and cross-functionally work with staff to advance operational objectives. The coordinator will also support the AC in the coordination of the bureau's staffing, contracts, and facilities and liaise with the Division Administration leadership team as needed.</p> <p>The ideal candidate will be highly organized and experienced in project coordination and/or operations, as well as a strong advocate for social justice. The ideal candidate will have a background in social sciences, racial equity and public health.</p> <p>Responsibilities:</p> <ul> <li> <p>Strategic Development</p> </li><li> <p>Lead the development and execution of equity strategies, ensuring they are tailored to the unique experiences of customer-facing staff. Support workgroup with technical assistance, strategic and logistical support.</p> </li><li> <p>Conduct through assessments to understand the specific challenges and requirements of customer-facing staff and develop targeted solutions to meet these needs.</p> </li><li> <p>Collaborate with senior staff, Executive Director of Vital Records, and BVS Assistant Commissioner to develop long-term, strategic operational goals for the bureau. Work with Executive Director of Vital Records, to ensure that all bureau processes are documented, tracked and communicated to senior and bureau staff.</p> </li><li> <p>Support the Executive Director of Vital Records, and senior staff to track and monitor contracts to ensure work is completed in a timely manner and report any contract challenges to CPHDS Administration.</p> </li><li> <p>Leadership Support</p> </li><li> <p>Consolidate and present requests at administrative meetings with Division Administration. Maintain ongoing communication with the Assistant Commissioner, Executive Director of Vital Records, Senior Staff, and CPHDS Administration to ensure the bureau operates efficiently. Develop and enhance data collection methods to monitor and update proposed operational metrics.</p> </li><li> <p>Collaborate with senior staff to understand contract and procurement requirements and communicate these needs to Division Administration.</p> </li><li> <p>Submit facility requests to Division Administration and coordinate with senior staff to ensure the timely completion of these requests, maintaining a clean, safe, and well-stocked physical environment.</p> </li><li> <p>Support the Assistant Commissioner and senior staff by monitoring program spending plans, ensuring that program activities remain on schedule and within the allocated budget.</p> </li><li> <p>Forward Planning</p> </li><li> <p>Create a comprehensive document that outlines the strategic objectives and actionable steps for promoting workforce equity, serving as a roadmap for current and future initiatives.</p> </li><li> <p>Outline and produce detailed plans to assess the progress of goals and/or short-term projects, that are sustainable; evaluate these plans on a periodic basis.</p> </li><li> <p>Explore newer, more cost-effective operational enhancements to existing processes and/or software.</p> </li><li> <p>Customer-Facing Staff Advocacy</p> </li><li> <p>Actively seek out and prioritize the input and feedback of customer-facing staff to ensure their perspectives are integrated into equity planning and decision-making.</p> </li><li> <p>Provide ongoing support to customer-facing staff, empowering them to address equity issues and contribute to the division's equity goals effectively.</p> </li><li> <p>Special Projects</p> </li><li> <p>Oversee special projects as assigned by senior staff, including vault projects and other complex operational tasks.</p> </li><li> <p>Develop and manage comprehensive action plans, monitor and track project timelines, and proactively identify and resolve challenges related to these special projects.</p> </li></ul> <p>Qualifications:</p> <ul> <li>Strong project management, communication, organizational and collaboration skills </li><li>Excellent ability to delegate responsibilities while maintaining organizational control of branch operations and customer service. </li><li>Knowledge of general business software and aptitude to learn new applications; proficiency in Microsoft Office (Word, Excel, Visio, Powerpoint and Outlook). </li></ul> <p>Why Join Us:</p> <ul> <li>This is an exciting opportunity to strengthen equity and operational work of a fast paced, leading public health agency. </li></ul> <p>Additional Information:</p> <p>At PHS, we place immense value on diversity within our teams, understanding that varied backgrounds and experiences significantly enhance our community and propel us toward our goals.
