<p>Responsible for supervising internal and external administrative support services for the organization. Assigns administrative support personnel to departments, coordinates the flow of work through administrator, tracks performance, and provides feedback. Develops procedures, policies and materials and directs work priorities to improve services.</p> <p>Principal Accountabilities:</p> <ul> <li>Knowledge: Expertise in standard personal computer including Microsoft Office, EMR and a computer based patient information systems, and master scheduling system. </li><li>Utilization of electronic timekeeping system and supply system required. Working knowledge of medical terminology and insurance required. Working knowledge of employee interview and hiring processes. </li><li>Working knowledge of the performance evaluation and disciplinary processes. </li><li>Working knowledge of patient specialty referral system. W </li><li>Working knowledge of daily reconciliation and bank deposit processes. </li><li>The Practice Administrative Supervisor in the physician practices sites provides leadership, guidance, and supervision of the front office staff to ensure the provision of safe, quality care in an efficient and productive manner. </li><li>The Practice Administrative Supervisor will have demonstrated proficiency in the skills sets required to perform the duties of the Medical Office Associate role. </li><li>Participates in the interviewing, hiring and orientation of new front office staff and the follow on training, competency assessment, and performance evaluation processes. </li><li>The Practice Administrative Supervisor is an integral member of the practice site leadership team, supporting the Senior Manager and Manager, of Practice Operations and Managing Physician in the day to day management of practice site operations. </li><li>May lead service excellence initiatives in support of internal and external customers and coordinates staff involvement in community events. </li><li>Assumes management responsibilities in the absence of the Practice Manager </li><li>Budget Responsibility: Requires effective use of material and human resources and cost awareness. </li><li>Makes appropriate decisions, using available resources, to achieve positive outcomes for patients, visitors, and staff based on policies and sound business practices. </li><li>Makes recommendations for improvements in departmental systems and processes and contributes ideas and suggestions for solutions. </li><li>Ensures safe environment of care for patients, visitors, and staff. </li><li>Responds to urgent and unplanned situations by assessing level of importance, instituting appropriate action and informing appropriate management. </li><li>Communicates staffing and operational decisions to appropriate management level. </li><li>Prioritizes daily tasks and assignments appropriately. </li><li>Supervisory Responsibility: In collaboration with Manager, Practice Operations and management, responsible for scheduling, timekeeping, and payroll management. </li><li>Collaborates in responsibility for counseling, disciplining, and recommending termination as well as interviewing, hiring and orientation of new staff in accordance with AHS and AMG policies and procedures. </li><li>Must understand and be able to accurately use HR forms, requisition supplies, process purchase orders, and submit and track patient specialty referrals. Reads and understands written product directions. </li><li>Works in a typical ambulatory care environment where there are limited physical discomforts due to temperature, dust, noise, lighting, etc. </li><li>Possible exposure to communicable diseases, hazardous materials, and pharmacological agents with little likelihood of harm if established health precautions are followed. </li><li>Requires ability to stand, walk or sit for extended periods of time. </li><li>Requires ability to move and transport patients with assistance. Overtime, on-call, shift work and the use of staff sharing at other work locations may be required. </li><li>Takes responsibility for personal decisions and actions. Demonstrates ethical behavior based on values consistent with expectations of leadership; eliminates favoritism; acts with integrity creating an environment of trust and mutual respect. </li></ul>
