<p>Job Description:</p> <p>FUNCTION & SCOPE:</p> <p>Under the direction of the Chief Information Officer (CIO) for Information Technology Services (ITS), this role will provide support for all staff within the ITS department. This role is responsible for all administrative functions in the CIO ITS department, including assignments of a complex and confidential nature.</p> <p>DUTIES:</p> <ul> <li>Managed and maintained the CIO's calendar, including internal and external meetings. Handling CIO's travel and expenses. </li><li>Arrange meetings through Teams/Zoom for department leads or other staff. Coordinate all the provisions needed: rooms, equipment, materials, and food. </li><li>Assist in managing and tracking the department's budget by coordinating purchase orders, monitoring expenses, preparing budget reports, and ensuring compliance with guidelines. </li><li>Performs a variety of administrative assignments of a complex and confidential nature. Utilizes Word, EXCEL, PowerPoint, Visio, Adobe, Microsoft Forms, eFax (Esker on demand), DocuSign, AudioCodes (conference rooms), and Oracle/iExpense software to accomplish assignments. Produces fill-in forms using Adobe for interactive use on the Web and coordinates with the Webmaster to post on the RF Website. </li><li>Working with external managed service providers to pack and ship equipment to new employees and coordinate returned equipment using UPS. </li><li>Prepare check requests and ensure appropriate records that document procurement and payment activity are included. Reconciliation of the Bank of America Purchasing card. Responsible for the Department Purchasing Card. Coordinate travel arrangements for department staff and prepare requisitions for encumbering funds. Manage the EZpass account and a log of the ITS EZpass responders when employees travel with the responder. Renews membership and conference registrations. </li><li>Monitors the ITS Procurement email box. Follow up with vendors on invoices, refunds, missing invoices, and correct contact information. </li><li>Facilitate the Events team in organizing team-building events and taking collections for various occasions. </li><li>Maintain the Agreement directory and input all signed agreements to the PACS module. </li><li>Perform other activities such as Coordinate Customer Satisfaction follow-up, offboarding tasks, and ordering supplies. </li></ul> <p>Requirements:</p> <p>SPECIAL SKILLS:</p> <ul> <li>Strong computer skills with specific experience with Microsoft Office applications. Must possess excellent communication skills and be able to interact with all levels of personnel. Ability to accomplish tasks with minimum direction and supervision. Ability to work in a team environment and a highly confidential environment. </li><li>The high degree of accuracy and strong organizational skills, coordination, and accuracy. </li></ul> <p>EDUCATION & EXPERIENCE:</p> <p>Appropriate training and/or education beyond high school, plus at least 5 years progressive experience in administrative support to an executive, particularly the Chief Information Officer.</p> <p>Compensation for this position: The compensation for this role is between $56,098 to $65,394.
