Duties include performing administrative tasks to include posting and tracking the receipt of applications for open positions, setup of interviews and handling the onboarding process for all new hires.</p> <p>Essential Job Functions</p> <ul> <li>Responsible for the recruitment process for Administration, Operations, Fleet, Logistics, Planning and Education divisions within IEMS. </li><li>Communicates/corresponds with prospective applicants seeking information regarding employment opportunities and is responsible for thorough follow-up on each inquiry. </li><li>Maintains the applicant tracking system by opening and closing jobs, updating job information, reassigning positions. </li><li>Trouble shoots and resolves all applicant and system issues related to the HR ATS and HRIS </li><li>Responsible for coordinating offers of employment, background screening and scheduling of uniform fitting, fit testing, new hire physical, etc. </li><li>Assists with maintaining listing of current licenses/certifications as required by regulatory bodies by checking them online with the Indiana Department of Homeland Security / Fire and Building Safety Division and doing background checks on each newly hired employee. </li></ul> <p>Essential Job Functions cont.</p> <ul> <li>Participates in departmental project work focused on delivering efficiencies and innovations to drive the human resources operation function forward. </li><li>Assists with transaction processing in support of HR functions, including data entry, filing, sending correspondence, employment verifications, etc. </li><li>Assists with monitoring of data in HRIS system ensuring the accuracy of information. </li><li>Develops and maintains trusting relationships with staff and management. </li><li>Reports sensitive and/or high-profile issues timely to IEMS management. </li><li>Complete special projects as assigned by leadership. </li></ul> <p>Associated Job Duties</p> <ul> <li>Performs other job-related duties as assigned. </li></ul> <p>Job Requirements</p> <ul> <li>Associate in Human Resources preferred </li><li>In lieu of degree, 3 to 5 years' experience in Human Resources </li></ul> <p>Knowledge, Skills & Abilities</p> <ul> <li>Strong organizational skills with a keen ability to prioritize and multi-task. Ability to plan work activities, use time efficiently and develop realistic action plans </li><li>Experience in handling sensitive, confidential information, remain open to others' ideas and exhibits willingness to try new things </li><li>Excellent communication skills </li><li>Strong administrative and data management skills </li><li>Excellent customer service skills </li><li>Ability to problem solve, i.e., identifies problems in a timely manner, gathers and analyzes information skillfully </li><li>Proficiency in Microsoft Office (Word, Excel and Power Point) </li><li>Ability to gain competency with HRIS, SAP, Kronos, and other software systems </li><li>Ability to work with clinical, professional, technical and administrative personnel </li><li>Proven effective presentation and organizational skills </li><li>Ability to identify issues proactively and in a timely manner </li></ul> <p>Responsibility</p> <ul> <li>Maintains patient and family confidentiality. </li><li>Maintains protected health information in accordance with HIPAA privacy guidelines and regulations. </li><li>Maintains confidentiality of employee records, and other restricted and confidential information </li><li>Responsible for accurately entering data into HRIS. </li></ul> <p>Judgement</p> <ul> <li>Employee may work under general supervision and receives general guidance on work priority with substantial employee latitude </li></ul> <p>Contacts - Internal/External</p> <ul> <li>Frequent contact with employees and management to provide information. </li><li>Frequent contact with vendors, and visitors </li></ul> <p>Special Effort Required:</p> <ul> <li>Exercise good judgement, flexibility, work effectively/efficiently under stressful conditions, exercise problems solving skills, etc. </li><li>Discretion in communication, high degree of accuracy required. </li><li>Judgment must be exercised in answering department and external inquiries. </li><li>Pressure for deadlines/recruiting responsibilities/heavy workloads requires strong organization, prioritization, and self-motivation. </li><li>Set priorities, weighing effects of policies/procures, stress of dealings/frequent interruptions. </li></ul> <p>Working Environment</p> <ul> <li>General office environment </li><li>May be required to attend meetings or perform work remotely. </li></ul> <p>It is Indianapolis EMS' philosophy and policy to treat employees and applicants fairly and without regard to sex, race, color, religion, national origin, ancestry, age, sexual orientation, gender identity, veteran's status or physical or mental ability.
