<p>Hiram College is seeking qualified candidates for the position of Assistant Director. This position is a full-time, 12-month live-in professional staff position in the Department of Residence Life & Commuter Services. This position reports to the Director of Residence Life, and requires active, energetic involvement in a small college environment, with opportunities for teaching, advising, and professional development. The Assistant Director will be responsible for the supervision of two Area Coordinators. Individuals in this position must have the ability and willingness to assume shared responsibility for campus-wide on-call duty and respond to crisis and emergency situations. This position will also co-advise the Stone Soup Co-op, Hiram Colleges vegetarian student run kitchen and will serve as a liaison between their advisor board and campus stakeholders. Lastly, this position will chair the committee for RA Recruitment and Selection, Housing Selection, and RA Training planning.</p> <p>Duties and Responsibilities</p> <p>Community Development</p> <ul> <li>Develop a positive and engaging community to foster a sense of belonging where students can build positive relationships with one another. </li><li>Maintain high visibility and availability, including attending community events, regularly touring the community, and interacting with residents. </li><li>Know the residents and provide support for their socio-emotional development. </li><li>Utilize institutional data to assess and respond to student needs. Implement and regularly assess the programming model used in the residence halls ensuring that the programming model is meeting the needs of the residential students. </li><li>Mediate conflicts between residents when intervention beyond the Area Coordinator is warranted. </li></ul> <p>Supervision</p> <ul> <li>Supervise and evaluate two Area Coordinators </li><li>Counsel and supervise Area Coordinators toward the goals of staff cohesiveness, positive attitudes, and good communication. </li><li>Set goals with Area Coordinators for their assigned areas. </li><li>Conduct weekly/ bi-weekly meetings with each Area Coordinator. </li><li>Attend bi-monthly/as needed all-staff meetings to communicate upcoming events and discuss community concerns. </li><li>Ensure staff members are appropriately confronting and documenting behavioral issues and concerns. </li><li>Provide regular formal and information feedback regarding job performance. </li><li>Ensure that Area Coordinator duty procedures are followed. </li><li>Work with Area Coordinator in assisting Stone Soup Co-op with supply and billing needs. </li></ul> <p>Crisis Management</p> <ul> <li>Participate as a member of the Coordinated Assistance Resource and Education team (CARE) </li><li>Mediate conflicts between residents when intervention beyond the Area Coordinator is warranted. </li><li>Respond to residents in need, referring to other professionals, when appropriate. </li><li>Provide leadership during times of crisis in and adjacent to the community. </li><li>Assume shared responsibility for campus-wide on-call duty year-round. </li><li>Assist in emergency situations as needed. </li></ul> <p>Room Assignment and Location Management</p> <ul> <li>Assist Housing Coordinator in collecting and confirming census data. </li><li>Assist department in facilitating the housing sign-up for returning and incoming students, including all relevant communications, advertising, marketing, and executions. </li><li>Assist Housing Coordinator to create and coordinate specialty housing applications for housing sign-ups. </li><li>Assist Housing Coordinator in completing room assignments for all incoming students. </li><li>Assist Housing Coordinator in keeping Erezlife database, floor plans, and room assignments up to date. </li><li>Work with Honors and Entrepreneurship departments to identify incoming and returning students who are eligible for specialty housing. </li><li>Work with Director and Housing Coordinator to configure hall openings, closings, and all necessary billing. </li><li>Assist Housing Coordinator to calculate and submit all necessary student billing. </li><li>Work with Housing Coordinator and Student Financial Services on student billing. </li><li>Work with other department staff to maintain and streamline forms and documentation. </li><li>Assist Housing Coordinator in maintaining key inventory as it pertains to residential spaces. </li><li>Assist Area Coordinator in key inventory as it pertains to the office of Residence Life & Commuter Services. </li><li>Responsible for coordinating Graduate Assistant (GA) housing billing with the business office. </li></ul> <p>Administrative Tasks</p> <ul> <li>Work with director to coordinate all technology efforts in the office, including updating the department website, maintaining the Erezlife database, and maintaining banner screens. </li><li>Serve as an Active Member of the Student Teams Group, and Data Reporting Team. </li><li>Build banner screens SLAASCD, SLATERM, and make sure housing assignments are correct in SLARASG </li><li>Roll Housing Assignments in Banner from Fall to Spring (SLRROLL) </li><li>Perform administrative duties associated with summer projects and assignments. </li><li>Report, track, and follow up on maintenance issues with physical plant. </li><li>Serve as the primary contact for parents and family members of residents. </li><li>Assist with student check-in, check-out, room changes, and withdrawals; assist with room condition reports and damage billing processes. </li><li>Organize the recruitment, selection, and training of staff members for the Office of Residence Life & Commuter Services. </li><li>Attend and participate in weekly Residence Life & Commuter Services meetings. </li><li>Attend and participate in bi-weekly student affairs meetings. </li><li>Approve, update, and submit office vacation and sick time for Area Coordinators. </li><li>Serve regular office hours in Residence Life & Commuter Services Office. </li><li>Update Residence Life & Commuter Services pages on the Hiram College website </li></ul> <p>Budget Management</p> <ul> <li>Assist director in overseeing individual Hall Budgets. </li><li>Assist Director in providing all budgetary/ occupancy information to cabinet and the college controller upon request. </li><li>Assist Director in generating all billing spreadsheets for business office with regards to student damage billing, key/lock replacements, winter break housing, summer break housing, and early arrival housing. </li><li>Responsible for Resident Assistant payroll for academic year and summer. </li><li>Coordinate meal plan purchases for townhouses and students staying over winter break. </li><li>Provide budget oversight with Area Coordinator for the Stone Soup Co-op. </li></ul> <p>Staff Expectations</p> <ul> <li>Serve as a role model for Area Coordinators, Resident Assistants, and residents in personal and professional behaviors. </li><li>Demonstrate a consistent commitment to diversity by collaborating with individuals from different race, ethnicity, gender, gender identity, gender expression, sexual orientation, socioeconomic status, ability, ideology, religion, and national origin backgrounds. </li><li>Create and maintain positive professional relationships within the department and across the university. </li><li>Represent the department at campus wide events and assigned college committees. </li></ul> <p>Commuter Services</p> <ul> <li>Assist Housing Coordinator on updating and maintaining banner and eRezLife to indicate correct listing of commuter students. </li><li>Assist Housing Coordinator in creating and disseminating commuter student check in forms for fall and spring semesters. </li></ul> <p>Advisor - Stone Soup Co-op</p> <ul> <li>Assist Area coordinator as the primary point person for the elected board of student advisors. </li><li>Assist Area Coordinator in making sure all certifications are up to date and remain as such. </li><li>Coordinate with physical plant regarding Co-Op maintenance needs. </li><li>Meet with Portage County Health Inspector twice a year. </li><li>Assist students in making purchases with their allotted budget. </li><li>Serve as a resource in any capacity as necessary. </li></ul> <p>Please submit a cover letter, curriculum vitae, a statement of teaching philosophy, and names of three (3) professional references with address and phone numbers electronically as a Word or PDF document(s) to HR@hiram.edu.
