Responsibilities include critical support through research, analysis, writing, information coordination, distributing correspondence, scribing, distributing meeting minutes, and relationship management. The individual must possess and model a professional demeanor and be organized, self-motivated with strong interpersonal skills, and an effective communicator.</p> <p>Responsibilities:</p> <p>Reporting to the SVP Enterprise Growth, the Executive Assistant II will provide specialized and complex administrative activities in support of the Senior Vice President (SVP) and their leadership team as part of the Enterprise Growth and Strategy department. Responsibilities include providing critical support through research, analysis, writing, information coordination, distributing correspondence, distributing meeting minutes, and relationship management. The ideal candidate must possess and model a professional demeanor, be organized, be self-motivated, and have strong interpersonal skills with an eye for detail. The candidate must have excellent communication skills.</p> <ul> <li>High-level support with a focus on managing sensitive and confidential information and documents, including strategic plans, by maintaining strict confidentiality protocols. </li><li>Develop, review, and edit presentations and documentation in collaboration with the SVP and Leadership team. </li><li>Develop an in-depth understanding of the SVP's priorities, needs, and role within the organization so that they can appropriately commit their time to those requesting access. </li><li>Coordinate the SVP's activities, including managing complex calendars and travel arrangements, expenses, and associated logistics. </li><li>Proficiency using Microsoft Office Suite/Teams/Adobe. </li><li>Manage complex executive calendars by independently prioritizing appointments and coordinating meetings with individuals both internal and external to the company. </li><li>Anticipate SVP needs and proactively solve problems and/or independently handle issues as necessary. </li><li>Serve as the primary liaison to internal and external constituencies on behalf of the SVP, including screening correspondence and telephone calls; keeping executive leadership informed of all matters requiring their attention, including discretion while managing sensitive communications </li><li>Support the facilitation of in-person and virtual meeting logistics as needed, including: </li></ul> <p>o Planning arrangements including coordination of the meeting, conference room space, and catering (if applicable).</p> <p>o Prepare meeting Agenda including coordination of team members' information.</p> <p>o Upload and maintain confidential meeting documents and other deliverables using Microsoft SharePoint.</p> <p>o Timely transcription and distribution of committee meeting minutes.</p> <ul> <li>Prepare meeting reports and minutes, correspondence, presentations, organization charts and other such required documentation for the organization. </li><li>Provide support to SVP vertical, including Directors, for their organization-wide initiatives. </li><li>Communicate and collaborate with other Executive Assistants and administrative support, ensuring executive leader(s) are supported and gaps in coverage are filled. Build strong working relations and understand the needs of the executive and their team. </li><li>Provide exceptional customer service. Communicate clearly and professionally with all levels of the organization. Respond to inquiries and general requests for support with attention to detail and confidentiality. </li><li>Continuously review operating practices and procedures and keep the SVP and team informed of changes. </li><li>Maintain the strictest levels of confidentiality and interact appropriately with all levels of the organization. </li></ul> <p>Education/Experience:</p> <ul> <li>Bachelor's Degree or equivalent work experience. </li><li>5+ years of related experience supporting an SVP or similar senior executive-level experience. </li><li>Excellent customer service and collaboration skills. </li><li>Advanced proficiency with Microsoft Office applications, including Word, Excel, PowerPoint, and Visio required. </li><li>Prior experience developing presentations for executive-level audiences. </li><li>Prior MS Visio experience for the purposes of documenting workflows. </li><li>Proficient skills and experience with SharePoint. </li><li>Ability to identify problems, collect and analyze information and recommend solutions. </li><li>Ability to plan, organize and handle multiple tasks independently. </li><li>Ability to maintain the strictest levels of confidentiality and interact appropriately with all levels of the organization. </li></ul> <p>NOTE: AmeriHealth Caritas utilizes a hybrid work environment with Associates working from home two days a week and in the office three days a week.
