<p>Department: Sheriff's Department</p> <p>Anticipated Work Schedule: 8:30 - 4:30 (Shift May Vary)</p> <p>Reports To: Lieutenant</p> <p>Full Time or Part Time: Full-Time</p> <p>Regular or Temporary: Regular</p> <p>Bargaining Unit: N/A</p> <p>Classified or Unclassified: Classified</p> <p>FLSA: Non-Exempt</p> <p>Summary: Supervisory-level position that is responsible for supervising clerical office personnel and facilitating the efficient functioning of an office through performance of a range of administrative and supervisory tasks. This position will exercise discretion in applying policies and procedures to resolve issues and to ensure that assigned activities are completed in a timely and efficient manner.</p> <p>Essential Job Functions: Directly supervises clerical support staff; directs staff to ensure work completion and maintenance of standards; plans, assigns and reviews work; provides training and instruction; evaluates employee performance; responds to employee questions, concerns and problems; approves employee timesheets and leave requests; prepares and reviews documents related to payroll, timesheets, requests for leave and overtime; develops unit work plans and work performance standards; meets with employees individually and as a unit; recommends personnel actions including selection, promotion, transfer, discipline, or discharge.</p> <p>Organizes and coordinates day to day office operations and procedures; participates in and ensures completion of departmental and workgroup goals and objectives; evaluates efficiency of office workflow; determines strategies to resolve issues, enhance processes, and increase workflow efficiency; develops and implements office policies and procedures for clerical functions of office; receives and reviews recommendations for procedure changes, communicates procedures to employees.</p> <p>Performs and manages data entry, data processing, and record maintenance activities; maintains manual records or filing system; maintains computerized records systems or databases; enters information into databases; receives, sorts, and assigns documents according to departmental processes, places documents in appropriate file according to established records management systems; screens forms, applications, and documents to determine accuracy and completeness of information; identifies inconsistencies between data and database information; updates information in databases as required, produces reports of database information as requested.</p> <p>Performs related administrative responsibilities; prepares and maintains various reports, records, and other documents; responds to emails and phone calls; attends various training and meetings; serves as liaison with other agencies, organizations, and groups; receives and responds to requests for information from various agencies; keeps informed of provisions of labor-management agreements and their effects on departmental operations; handles clients complaints and quires; purchase office storage supplies and equipment.</p> <p>Minimum Requirements: High School Diploma and five (5) years of administrative support experience; or any equivalent combination of training and experience as defined below:</p> <p>Highest Degree of Education AttainedExperience RequiredHigh School Diploma / GED5 YearsAny Associate Degree3 YearsAny Bachelor's Degree1 YearAny Graduate Degree1 Year</p> <p>Application Process</p> <p>This is a competitive, classified position. The Personnel Review Commission (PRC) will check your application to make sure you meet the minimum qualifications. If you do, the PRC will invite you to take a civil service examination. The exam is specific to this position. Everyone who passes the exam goes on an eligibility list. To fill this opening, the PRC sends the hiring department and Human Resources (HR) a certified eligibility list with the top 25% candidates (or at least the ten highest scoring candidates, whichever is greater). HR helps the hiring department decide who from the certified list to follow up with for interviews and then a job offer.</p> <p>Most of our communication with candidates is through email.
