Ascot exists to solve for our clients' brightest tomorrow, through agility, collaboration, resilience, and discipline.</p> <p>Position Overview:</p> <p>The Executive Assistant provides administrative support to the CEO of North America, Group General Counsel and U.S. General Counsel. The Executive Assistant must be highly collaborative, energetic, and proactive and enjoy working within an entrepreneurial environment. The ideal individual will have the ability to exercise good judgment in a variety of situations, with strong written and verbal communication, administrative, project management, superior organizational skills, and the ability to maintain a realistic balance among multiple priorities. The Executive Assistant will have the ability to work independently on projects, from conception to completion, and must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion.</p> <p>Responsibilities:</p> <ul> <li>Ensures that strategic and operational objectives are carried out and executed in an organized and timely manner </li><li>Completes a broad variety of administrative tasks including calendar management; completing expense reports; meeting schedules; arranging complex and detailed travel plans, itineraries, and agendas; and compiling documents for travel-related meetings </li><li>Plans, coordinates, and ensure schedules are prioritized and thoughtful </li><li>Works collaboratively with the other members of the administration team </li><li>Works closely and effectively with the CEO of North America, Group General Counsel and U.S. General Counsel's leadership teams to keep them well-informed of upcoming project deadlines and responsibilities, and follows up appropriately </li><li>Organizes and maintains corporate records, case files, and board materials </li><li>Responsible internal and external meeting coordination, including board meetings. </li><li>Prioritizes conflicting needs; handles matters expeditiously, and proactively, and follows through on projects to successful completion, often with deadline pressure </li><li>Handles information with discretion, adapts to various competing demands, and demonstrates the highest level of customer/client service and response </li><li>Prepares meeting materials including extensive PowerPoint presentations </li><li>Commitment to The Ascot Way: As a member of the administration team, the Executive Assistant will embody The Ascot Way in his or her daily interaction with colleagues, fostering colleague engagement and development, collaboration, inclusivity, and individual accountability </li></ul> <p>Requirements:</p> <ul> <li>5 to 10 years of experience supporting C-Level Executives </li><li>Prior insurance experience a plus </li><li>Strong organizational skills that reflect the ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail </li><li>Excellent project management skills </li><li>Very strong interpersonal skills and the ability to build relationships with stakeholders, including senior leaders, staff, and external partners </li><li>Exceptional written and verbal communication skills </li><li>Demonstrated proactive approach to problem-solving with strong decision-making capability. </li><li>Emotional maturity </li><li>Technically savvy and proficient with key technology applications. </li><li>Highly resourceful team player, with the ability to also be extremely effective independently </li><li>Proven ability to handle confidential information with discretion, adapt to various competing demands, and demonstrate the highest level of customer/client service and response </li><li>Ability to anticipate and solve issues that arise </li><li>Proficiency in Microsoft Office (Outlook, Word, Excel, and PowerPoint) and video conferencing and collaboration tools </li><li>Ability to occasionally work during non-business hours </li><li>Ability to work in the office three to five days a week </li></ul> <p>Compensation</p> <p>Actual base pay could vary and may be above or below the listed range based on factors including but not limited to experience, subject matter expertise, and skills. The base pay is just one component of Ascot's total compensation package for employees.
