<p>Job Description:</p> <p>Title: Enrollment Assistant</p> <p>Unit: Part-Time Non-Unit Staff</p> <p>Department: Enrollment Management Center (EMC)</p> <p>Reports To: Assistant Director of Enrollment Management Center</p> <p>Date: May 3, 2024 (Reopened November 20, 2024)</p> <p>General Summary: The part-time enrollment assistant in the Enrollment Management Center (EMC) will provide student advocate</p> <p>services to a highly active office, serving individuals from diverse backgrounds. The part-time assistant will respond to inquiries, and</p> <p>concerns in a problem-solving customer mode by assessing the needs, concerns, and determining the best method to answer an</p> <p>inquiry or resolve a concern. This may involve extracting or researching data in the Banner System, contacting other college</p> <p>departments for information, or referring the matter to other departments. The incumbent will be responsible for assisting students in</p> <p>the usage of the MCC portal and self-service applications such as MiddleNet, My Explorer, My Planner, Navigate, e-forms, etranscripts</p> <p>as well as other applications such as Transformative</p> <p>Duties and Responsibilities:</p> <ul> <li>Answering and directing incoming calls from the College's main number as well as the 800 line to other departments in the college. </li><li>Assisting students via the 800 line with class registration, appointments via Navigate, self-placement direction, add/drop, withdrawals, address changes, resetting passwords, obtaining transcripts, and uploading immunization records </li><li>Instruct students via phone or email on the use of computer software such as Banner Self-Service, Degree Works, College Scheduler, Navigate, and Blackboard. </li><li>Participate in outreach, retention, and Year-After-Graduation survey calls. </li><li>Scan and manage folder information in Soft Docs/Etreive Content and Etrieve Central. </li><li>Enter prospective student information. </li><li>Assist with maintaining daily edit reports and running reports from various systems </li><li>Assist with creating new student ID (A#) numbers. </li><li>Serve as a student advocate by finding solutions to the student's issues and problems and maintain a liaison with faculty, advisors, personal counselors, admissions office, student account's offices, and divisional support staff as a means of following up to ensure student inquiries/concerns or problems have been addressed and resolved. </li><li>Provide information to students, faculty members, and other college staff relating to enrollment services or college-related matters whether in person, by telephone, or by email using the Banner student information system. </li><li>Register students, schedule enrollment, registration, placement, and advising appointments using SARS and Navigate systems, process add/drops, withdrawals, address changes, and program changes in Banner system resolving problems as they are encountered in any one of these activities, reset passwords using the Super User Tool and book classrooms for staff and others as needed. </li><li>Assist faculty in using Banner Self-Service to enter midterm deficiency grades and final grades, print class lists, retrieve students' contact information, and reset faculty's passwords. </li><li>Maintain knowledge of and explain to students the entrance requirements to certain health programs (such as Radiologic Technology, Nursing, and Dental Hygiene where entrance requirements are more complex than some other programs), the policies and procedures with placement testing, course prerequisites, and course intensives. </li><li>Meet with parents of students and explain the rights and procedures with regard to the FERPA (Family Education Rights and Privacy Act) and the Dual Enrollment program as appropriate. </li><li>Advise faculty of the procedures to determine when it is appropriate to give a student an incomplete or in-progress grade and enter grade changes submitted by faculty. </li><li>Confer with the Assistant Director of Enrollment Management Center on matters of policy and procedure for complicated situations. </li><li>Responsible for preparation for the Registration Sessions (virtual or on-campus). Provide the appropriate materials for students and advisors. </li><li>During the registration sessions, lift holds, enter overrides, assign passwords, investigate with the IT department for computer set up and troubleshooting, supervise work study students, collaborate with the lead facilitator and monitor the flow of the registration sessions, ensuring that sessions are well ordered and students are advised and registered on a timely basis. </li><li>Facilitate the admission of walk-in students by answering admissions questions, informing new students of the college services, input of applications, checking for accuracy, setting up necessary appointments with placement, and advising as needed. </li><li>Research and obtain test scores and enter them into Banner system as necessary. </li><li>Test Banner upgrades as needed to insure proper functionality of routine processes. </li><li>Other duties associated with the Enrollment Management Center as assigned. </li></ul> <p>Requirements:</p> <ul> <li>High School diploma/GED or Higher </li><li>Knowledge of the principles and practices of office management including exercising sound judgment and discretion in handling confidential information. </li><li>Ability to understand, explain and apply the laws, rules, regulations, policies, procedures, specifications, standards, and guidelines governing assigned unit activities. </li><li>Knowledge of the types and uses of general office equipment including personal computers, telephones, copy machines, fax machines, shredders, calculators, printers, electronic staplers, and similar equipment. </li><li>Ability to analyze and determine the applicability of data, draw conclusions, and make appropriate recommendations. </li><li>Ability to follow written and oral instructions; to communicate effectively in oral expression; and to give written oral instruction in a precise, understandable manner. </li><li>Ability to gather information through questioning individuals and by examining records and documents. </li><li>Ability to write concisely, express thoughts clearly, and develop ideas in a logical sequence. </li><li>Ability to assemble items of information in accordance with established procedures to determine the proper format and procedure for assembling items of information and to maintain accurate records. </li><li>Ability to deal tactfully with others and establish rapport and maintain harmonious working relationships with persons of diverse identities such as socioeconomic level, sexual orientation, race, ethnicity, and veterans including those with different levels of academic preparation, varying physical and learning abilities. </li><li>Ability to learn and effectively use Microsoft Office software, Banner System, Degree Works, and other applications required for service to students. </li><li>Experience with equity-minded work and/or understanding of individuals of diverse identities such as race, ethnicity, socioeconomic level, sexual orientation and veterans including those with different levels of academic preparation, and varying physical and learning abilities. </li></ul> <p>Preferred Qualifications:</p> <ul> <li>Bilingual skills </li></ul> <p>Additional Information:</p> <p>Salary Range: $17.94 per hour in accordance with the College's Part-Time wage Schedule</p> <p>Location: Lowell campus with occasional travel to Bedford as needed</p> <p>Hours: 18.5 hours per week, schedule to be determined upon hire</p> <p>Expected Start Date: January 2025</p> <p>Application Deadline: This position will remain open until filled</p> <p>Application Instructions:</p> <p>All applicants must apply online by submitting:</p> <ul> <li>Cover Letter </li><li>Resume </li><li>Names and contact information for three (3) professional references </li></ul> <p>Pre-Employment Requirements:</p> <p>The College will not sponsor applicants for work visas.</p> <p>All offers of employment at Middlesex Community College are contingent upon clear results of a thorough background check.
