<p>Under the direction of the Whitman School of Managements, Assistant Director of Budget and Finance, the Budget Manager is responsible for ensuring that departmental and university resources are appropriately safeguarded and spent or used in accordance with departmental and university policies and procedures. Providing support and guidance to College units, the Budget Manager manages payroll processes and administers and monitors budget allocations and expenditures, acting as liaison with College and central units, including but not limited to: Comptroller's Office, General and Restricted Accounting, Purchasing, Disbursements, Risk Management, Sponsored Programs, Sponsored Accounting. The Budget Manager also supports the College budget office with monthly reporting and analysis, manages the College's internal and external grants, and manages a team of 4 to 6 employees who support the faculty, staff, and students.</p> <p>Education and Experience</p> <ul> <li>Bachelor's degree and have a minimum of 4 years of experience in accounting and administration. </li><li>Experience in accounting and administration. </li><li>Experience in grant administration is highly desirable. </li></ul> <p>Skills and Knowledge</p> <ul> <li>Strong organizational, interpersonal and attention to detail skills are essential. </li><li>Experience in leadership of direct reports, a must. </li><li>Demonstrate ability to prioritize high volume demands. </li><li>Demonstrate ability to be adaptable in a working environment that is constantly elevating and innovating in becoming a top ranked business school. </li><li>Ability to handle sensitive, confidential information, and exercise independent judgment is necessary. </li><li>Strong communication skills and ability to interact with a diverse group of constituents. </li><li>Proficiency in Microsoft Office software, including Word and Excel (required). </li><li>Knowledge and experience using PeopleSoft a must and prior experience in Salesforce, a plus. </li></ul> <p>Responsibilities</p> <ul> <li>Oversee, manage, and direct the daily operations of the Administrative Services team, ensuring the seamless application of administrative policies & procedures. This includes the accurate allocation of payroll, processing of invoices, travel reimbursements, monthly credit reports, student stipends, journal approvals, contracts, and review of financial activities for faculty and staff. </li><li>Maintain strict confidentiality while supporting/guiding direct reports, faculty, staff, dept. chairs, and directors in navigating complex questions related to college/university policies, general ledger matters, and more. </li><li>Serve as the liaison between the college and university offices, including Disbursements, Purchasing, HR, Payroll, Legal, Real Estate, Risk management, and the Comptroller's office. </li><li>Provide leadership in managing Salesforce operations, ensuring accurate and efficient execution of financial transactions, such as reimbursements, invoice payments, and credit card reconciliations, while maintaining a consistent 24-to-48-hour processing timeline. </li><li>Oversee all guest speaker arrangements and events for faculty departments, ensuring every detail is managed efficiently to meet the needs of the school. </li><li>Build workflows that drive consistency, accuracy, and efficiency across the team to support Whitman's strategic goals. </li><li>Manage the daily operations of the Administrative Services team, ensuring accurate payroll allocation, timely processing of financial transactions, and adherence to policies. </li><li>Provide guidance to staff and faculty on complex issues and act as the primary liaison to key university offices. </li><li>Oversee Salesforce workflows to maintain a 24-to-48-hour turnaround for financial processing. </li><li>Manage guest speaker arrangements and faculty events while driving efficiency and consistency to support Whitman's strategic goals. </li><li>Oversee all internal and external grants, providing monthly updates to the Assistant Director of Budget and Finance. </li><li>Collaborate with PIs to ensure projects meet funding requirements and deadlines, with timely submission of reports. </li><li>Direct and support the payroll coordinator in tracking, auditing, and updating payroll in line with award timelines and university deadlines. </li><li>Coordinate closely with administrative staff and central offices, including the Office of Sponsored Programs, Office of Sponsored Accounting, and the VP of Research, to ensure compliance and alignment with policies. </li><li>Provide dedicated support to the Associate Dean of PhD and Research, including direct management of the research budget, monthly audits, administer application and awards, and support research center directors activity. </li><li>Oversee the Administrative Services team in managing research databases and collaborate with IT and the Comptroller's office to ensure timely contract approvals and renewals. </li><li>Address additional responsibilities as needed to support the research area effectively. </li><li>Other duties as assigned. </li></ul> <p>Physical Requirements</p> <p>Not Applicable</p> <p>Tools/Equipment</p> <p>Not Applicable</p> <p>Application Instructions</p> <p>In addition to completing an online application, please attach a resume and cover letter.</p>
